terms
Last updated 6 November 2026
These are the general terms and conditions of Reinholdsson Media House B.V., my company. They apply to everything I make and do for clients: film and photo, content, websites, AI tools, hosting and advice. I’ve kept them as plain as I can.
in short
What people ask about most. The full terms below are what counts.
- These terms apply as soon as you accept my quote, give me the go-ahead or pay my invoice.
- What I make stays mine unless we agree otherwise in writing. Once you’ve paid in full, you may use it for what it was made for.
- Pay within the term on the invoice, or within 14 days if it gives none.
- The price includes 2 rounds of feedback, unless the quote says otherwise.
- Moving or cancelling a shoot day costs 50% of the shoot fee within 7 days of the date, and the full fee within 48 hours.
1when these terms apply
- 1.1In these terms, ‘I’ and ‘me’ mean Reinholdsson Media House B.V., the company I run. ‘You’ means the client: the business or person I make or do something for. ‘The quote’ means the quote or plan I send you for a job.
- 1.2These terms apply to every quote, assignment and agreement between us, whatever the work.
- 1.3You accept them when you accept a quote, confirm an assignment (an email or a message is enough), ask me to start, or pay an invoice from me. Paying an invoice means you agree to these terms.
- 1.4I refer to these terms in my quotes and invoices. They’re always on this page, and I’ll email you a copy whenever you ask.
- 1.5What we agree in writing for a specific job, in the quote, an agreement or an email we both confirm, comes before these terms. Your own purchasing terms don’t apply unless I accept them in writing.
- 1.6I mainly work for businesses. If you hire me as a private person, the consumer law that protects you always applies, whatever these terms say.
2quotes and prices
- 2.1A quote is valid for 30 days unless it says otherwise. It’s based on what you told me when I made it.
- 2.2Prices are in euros and exclude VAT, unless the quote says otherwise.
- 2.3Costs that aren’t in the quote, such as travel outside the Netherlands, overnight stays, equipment hire, music and stock licences, actors, locations and paid software or AI services, come on top. I check with you before I make them.
- 2.4Work outside what we agreed, such as extra shoot days, versions, features or feedback rounds, is extra work. I tell you before I start on it and charge my usual rates.
- 2.5For monthly work I can adjust my prices once a year. I tell you at least 30 days ahead, and you can end the work before the new price starts.
3paying
- 3.1Pay each invoice within the term on it. If it gives none, pay within 14 days of the invoice date.
- 3.2For bigger jobs I can invoice part of the fee up front, for example half before I start and the rest on delivery. The quote says how.
- 3.3Monthly work, such as a content plan, hosting or a tool I run for you, is invoiced at the start of each month.
- 3.4If you pay late, you owe the Dutch statutory commercial interest (wettelijke handelsrente) from the due date, plus reasonable collection costs if I have to chase the payment.
- 3.5Until an invoice that’s due is paid, I can pause the work and hold back deliveries. Hosting and tools I run for you I can pause after a reminder.
- 3.6Something wrong with an invoice? Tell me within 14 days. The part you don’t question still has to be paid on time.
4who owns what
- 4.1What I make stays mine unless we agree otherwise in writing. All intellectual property rights, such as copyright, in the films, photos, raw footage, edits, sound, scripts, concepts, designs, websites, code and AI tools I make for you stay with me, or with the people I license material from.
- 4.2Once you’ve paid everything you owe for the job, you get a licence: the right to use the final work for what it was made for, as agreed in the quote. If we didn’t agree how you may use it, you may use it for the purpose that follows from the job, such as your own website and social channels for a brand film. The licence has no end date, applies worldwide and isn’t exclusive.
- 4.3Until you’ve paid in full, you may not publish or use the work, unless we agree otherwise.
- 4.4Want to use the work more widely than agreed, for example on TV, in cinemas, on billboards, in print campaigns or for another company? Ask me first. We agree on it in writing, usually for an extra fee.
- 4.5Raw footage, unused shots, project files and working files aren’t part of the delivery unless we agree otherwise. If you want them, we put them in the quote.
- 4.6The licence is yours alone. You may not pass it on, sell it or license it to others without my OK. If you’re an agency hiring me for a client, the licence is for that client, as named in the quote.
- 4.7Don’t change films and photos in a way that alters their character, such as re-editing a film or heavily editing a photo, without my OK. Cropping to another format and adding subtitles or your logo is fine.
- 4.8My own building blocks stay mine, and I may use them again for other clients: code, components, templates, tools, AI prompts and workflows, colour presets, and the know-how I use or build up during the work. Where they’re part of what I deliver, your licence covers them.
- 4.9I won’t use material that shows your brand, products, people or confidential information for other clients. Other material, such as general shots of places, I may use again.
- 4.10Videos on my own channels, reviews and paid collaborations included, are mine. A brand may only reuse them, for example in ads, if we agree on it in writing.
- 4.11I may show the work, and behind-the-scenes material, in my portfolio and showreel, on this site, on my social channels and in pitches, also after the job. If the work isn’t public yet, I wait until you’ve published it or until the date we agree. If something has to stay confidential, tell me before we start.
- 4.12Want to own the rights yourself? That’s possible. We agree in writing what you get and for what fee. Under Dutch law, copyright only passes to you with a document we both sign.
- 4.13If you use the work outside your licence, I can charge the fee I would have charged for that use, and I keep my other rights.
5your part
- 5.1You give me what the job needs on time: information, material, access, logins and feedback. You name one person who can approve the work.
- 5.2Material you give me, such as logos, photos, footage, music, texts and data, must be yours to use. If someone makes a claim against me because I used your material as agreed, you cover that claim and its costs.
- 5.3When I film or photograph your people, customers or premises, you make sure they know and agree, and that any permits are in place, unless we agree that I arrange it.
- 5.4You check what the work says about your products and business before it’s published, such as facts, prices and health or performance claims. You’re responsible for those claims.
- 5.5If the work is delayed because something on your side isn’t ready, the planning moves with it. Extra costs that causes, such as rebooking crew or equipment, I may charge.
6feedback and approval
- 6.1The quote says how many rounds of feedback are included. If it doesn’t, 2. In a round you send me all your feedback together, in one message.
- 6.2More rounds, or new wishes that change what we agreed, are extra work.
- 6.3The work counts as approved when you say so, when you publish or use it, or when you haven’t sent feedback within 14 days of delivery. Changes after that are new work.
7delivery and files
- 7.1I deliver through a download link or a system we agree on, in the formats in the quote. Download links expire, so save the files when you get them.
- 7.2Dates I give are targets, not hard deadlines, unless we agree on a fixed deadline. If I’m running late, I tell you. If I miss a date, you first give me a reasonable new deadline in writing before you can end the job.
- 7.3I’m not an archive. I don’t have to keep files after delivery, although I often do for a while. Want me to keep them? We can agree on that, for a fee.
8shoots
- 8.1Moving or cancelling a booked shoot day is free up to 7 days before it. After that I charge 50% of the shoot fee, and within 48 hours the full fee. Costs I’ve already made that can’t be refunded, such as equipment hire and travel, are always charged.
- 8.2If the weather makes an outdoor shoot impossible, we pick a new date together at no extra cost to either of us, apart from costs already made that can’t be refunded.
- 8.3If I fall ill or something beyond my control stops me, I tell you right away and we pick a new date. If you agree, I can send someone of a similar level instead. You don’t pay for a shoot that didn’t happen.
- 8.4If a shoot runs past the agreed hours through no fault of mine, I charge the extra time.
- 8.5If my equipment is damaged or lost through your fault, or that of your people or guests, you pay for the repair or replacement.
9websites, tools and hosting
- 9.1Websites and tools run on services from other companies, such as hosting, databases, email, payments and AI models. Their own terms and prices apply to what they provide. I choose them with care, but I can’t guarantee they’re always available or never change.
- 9.2Running costs, such as hosting, domains, licences and AI usage, are charged to you unless a monthly price includes them. If a provider raises its prices, I can pass that on after telling you.
- 9.3AI tools can make mistakes. Check important output, such as figures, facts, advice and messages to customers, before you rely on it or send it on.
- 9.4Material made with generative AI may not be protected by copyright, and something similar may exist elsewhere. When part of what I deliver is made with generative AI, such as an image, a voice or a text, I tell you.
- 9.5If I process personal data for you, for example in a CRM, a booking tool or an assistant I build or run for you, we sign a data processing agreement, as the GDPR requires.
- 9.6The legal texts on your own site, such as your privacy policy, cookie notice and terms, are your responsibility, unless we agree that I write them.
- 9.7Moving your site or tool to another host or developer? Once all invoices are paid, I give you a copy of the code you need, under your licence. You may then have it maintained and changed for your own use, by anyone. The handover work is charged at my usual rates.
10ending a job
- 10.1Monthly work, such as a content plan, hosting or maintenance, runs month to month. Either of us can end it with one month’s notice, to the end of a calendar month, unless the quote sets a minimum term. Months already paid aren’t refunded.
- 10.2If you stop a job before it’s finished, you pay for the work done and the costs made up to then, plus any shoot cancellation fee.
- 10.3I can end or pause a job if you don’t pay after a reminder, if you go bankrupt or stop trading, or if you ask me to do something unlawful.
- 10.4If a job ends early, your licence covers only the work you’ve paid for in full.
11liability
- 11.1I do my work with care and skill. I promise my best effort, not a particular result such as a number of views, sales or search rankings, unless we agree on that explicitly.
- 11.2If I’m liable for damage, it’s only for direct damage, up to the amount invoiced for that job, excluding VAT. For monthly work, up to what you paid in the 6 months before the damage.
- 11.3I’m not liable for indirect damage, such as lost profit or revenue, missed savings, harm to your reputation or delays. Nor for damage caused by wrong or incomplete information from you, by services of other companies such as hosting, platforms and AI services, or by files lost after delivery.
- 11.4These limits don’t apply if the damage was caused by my intent or gross negligence.
- 11.5Report damage to me in writing as soon as you can, at the latest within 30 days of discovering it. A claim lapses one year after you discovered the damage.
12things beyond my control
- 12.1I’m not in breach when something beyond my control stops me, such as illness, accidents, extreme weather, strikes, outages of internet, hosting or AI services, problems at suppliers or government measures. We then move the work. If it lasts more than 60 days, either of us can end the unfinished part, and you pay for the work done up to then.
13confidentiality and other things
- 13.1We both keep each other’s confidential information to ourselves, such as unreleased products, figures and plans, during the job and after it.
- 13.2I can bring in people I trust for parts of a job, such as a second camera, sound, an editor or a developer. I stay responsible to you for their work.
- 13.3I can update these terms. The version that applied when we agreed a job keeps applying to that job. For monthly work, a new version applies 30 days after I’ve told you about it, and you can end the work before then if you don’t agree.
- 13.4If part of these terms turns out not to be valid, the rest still applies, and we replace that part with something valid that comes as close as possible.
14law and disputes
- 14.1Dutch law applies to these terms and to every agreement between us. The UN Convention on Contracts for the International Sale of Goods (CISG) doesn’t apply.
- 14.2If we disagree, we first try to work it out together. If that fails, the competent court in the district where my company is based decides, unless the law says otherwise.
- 14.3These terms exist in English, Dutch and Swedish. If the versions differ, the English one applies.
